JOB TITLE:

Benefits Manager

REPORTS TO:

Vice President of Human Resources

JOB SUMMARY:

Maintains company-wide benefits programs, policies, and procedures. Responsible for ensuring programs meet teammate needs, comply with legal requirements, and are cost effective. Plans the day to day operations and administration of the group benefit programs including: group life and health insurance, dental plans, retirement programs and other benefit plans. Encompasses all benefits for both salaried and hourly teammates. Involves frequent contact, and a working knowledge of the benefits and payroll policies, procedures and processes.

ESSENTIAL JOB RESPONSIBILITIES:

 

This position relies on extensive experience and judgment to plan and accomplish goals.

 

Manages benefit processing to include: enrollments, terminations, status changes, beneficiaries, medical and dental insurance, accident and disability plans.

  1. Maintain high quality, accurate record-keeping systems for welfare benefit plans.
  2. Work directly with Lockton, Blue Cross Blue Shield, Worksite Benefits Associates (WBA), Principal and Taben (Cobra) to insure teammate benefits are being handled cost effectively and efficiently.
  3. Provide training to Store Management regarding plan details and enrollment process
  4. Coordinates human resources procedures to initiate benefits such as pensions, disability insurance, medical and life insurance.
  5. Manage Company Sick Pay Program to insure proper medical documentation and work release is obtained to justify payment. Insure company is complaint with FMLA and ADA laws and regulations.
  6. Manage the day to day administration of the 401(k) plan (processing, plan documents, communication, routine audits); adjust and document all corrections that are required.
  7. Oversees preparation of material, booklets and other media for communicating the benefit plan to teammates. Conducts teammate meetings and arranges for enrollment of teammates into plans.
  8. Verifies the calculation of the monthly premiums statements for all group insurance policies and maintains statistical data relative to premiums, claims, and costs. May resolve administrative problems with the carrier representatives.
  9. Reviews annual lists of present, new, and former plan participants for all pertinent data. Manages submission of data and documents to the appropriate committee, trustee, or actuary. Initiates the commencement of pension benefits.
  10. May handle benefit inquiries and complaints to ensure quick, equitable, courteous resolution.
  11. Oversees maintenance of Human Resource Information System records and compiles reports from database as needed.
  12. Must work independently, but interact and communicate directly with HR, Payroll, Pharmacy and Finance.
  13. Review and authorize all vendor invoices related to the various insurance and retirement plans.
  14. Performs other related duties as required and assigned.

COMPLIANCE RESPONSIBILITIES:

Maintenance of a consistent process of onboarding new employees to ensure every eligible employee is offered health coverage and has an opportunity to enroll or waive to ensure that Ball's has met the employer mandate under ACA Affordable Care Act.

Having a reliability process to administer measurement and stability periods as defined by the ACA.

Ensuring all employees receive all DOL required Notices which are many, as well as SBCs when hired, and again each year along with open enrollment materials.

Ensuring all enrolled employees receive copies of both Wrap Documents and all benefit summaries making up the Summary Plan Description as required by ERISA.

Ensuring all Government required reporting is fulfilled appropriately including, but not limited to 5500s and Medicare Credibility Certifications.

Conduct oversight of vendor relationships in conjunction with consultants to ensure fiduciary responsibilities are met.

Fulfill complex ACA reporting including 1095Cs due in January.

QUALIFICATIONS:

EDUCATION:

College degree or equivalent experience

Bachelor's degree in Human Resources/Finance/Business preferred.

EXPERIENCE:

Experience and understanding of Human Resources management operations and role in an organization.

Knowledge of ACA, Erisa, FMLA, EEOC and ADA laws, requirements and regulations.

5+ years of benefit experience (preferrably current years experience).

SKILLS/ABILITIES

Ability to communicate effectively both orally and in writing with teammate and the general public, to maintain confidentiality in daily operations, to conduct daily duties in a professional appearance and manner.

Ability to enter data into human resources records accurately.

Ability to explain benefit processes to internal and external contacts.

Ability to use standard spreadsheet and database software.

Ability to successfully work in team environment.

Ability to coordinate multiple priorities in a fast-paced and demanding environment.

Must be self-motivated and be able to think independently.

ROUTINE DECISIONS AND FORMAL POLICY SETTING:

This position provides input in the human resources control and procedures.
